Studio Policies

At Miller’s Portrait and Events we strive to provide a memorable experience and heirloom quality prints, portraits and albums from your session or event to share with family and friends for generations to come. We work hard to keep our images picture perfect with accurate color, tone and quality and printed on the finest archival papers, canvas and acrylics for beautiful display in your home and in your hearts.

Booking and Payment

We offer complimentary consultations to discuss your portrait needs, pricing, packages and policies prior to booking a session.

A 50% non-refundable retainer and signed contract is required to book and hold your session or event date.

Remaining session balance is due 1 day prior to your session. There is a $25 per week late fee for unpaid balances and reveal sessions will not be scheduled until balances are paid in full.

Cancellations must be made more than 48 hours before the session time in order to apply the retainer to a new session date within six months of original date for portrait sessions and within one year of events.

If arriving late to a session please note that the session still begins at the booked time. Any additional time requested past the original booking will incur a fee of $100 per hour.

Sessions

Newborn sessions can be a delicate and lengthy process to accommodate baby’s needs. Please remember to follow the newborn instructions we send prior to your session as best as possible before arriving at the studio. Sessions can last from 2-4 hours as every newborn is different in their demeanor, fussiness, sleepiness, etc. If bringing siblings to a newborn session a second parent or guardian/friend is required to help watch them. We have a waiting area, and plenty of couches and toys for little ones, but four hours in any space can be overwhelming for a child. There is plenty of space to walk outside of our studio, however we require that one parent remains in the studio at all times.

Family session fees are limited to immediate family and may include 1-2 additional extended members, ie Grandma and Grandpa. Extended family sessions are charged an $200 per additional family unit.

Child sessions for kids between the ages of 2 and 4 can often depend on your child’s demeanor. Every child is unique in their personalities and tolerances. We strive to provide the best experience for both the family and children and we do not push children to the point of stress and meltdowns to achieve a portrait. We, however, will work with small children to produce more natural candid moments with family members and favorite toys, etc to produce beautiful portraits. Please be aware that not every portrait of your child will be of them smiling and looking in to the camera and that is okay. Our goal at this age is capturing authentic moment and relationships between family members.

Mini-style sessions are only offered a couple times per year for children’s portraits with Santa, during our Mother’s Day and Father’s Day specials, and for back-to-school and are listed under our KeepSake Sessions. Occasionally we will offer a limited time KeepSake special as a mini session to promote a new product, backdrop or prop.

All portrait sessions require a 3 week turn around for the full gallery reveal and ordering session.

All events have a require a 4-6 week turn around for full gallery delivery and are delivered via online gallery.

Reveal and Ordering Session

A complimentary reveal and ordering session for portraits is conducted in person at our Studio at 2241-B Tackett’s Mill Drive in Woodbridge, VA 3-4 weeks after your portrait session.

Children are of course welcome in our studio during your reveal and ordering session, however, we recommend arranging child-care during this time in order to reduce distractions while you make your image and print selections.

We recommend that all financial decision makers for your portrait purchase be present at the reveal and ordering session.  No online galleries will be sent home and a $125 fee is required to book a second ordering session at the Studio.

There is a 3.9% processing fee for all credit card transactions. Checks are accepted.

Payment plans are considered upon request, but no products or digitals can be delivered until full payment is completed.

All package purchases are delivered within 2-3 weeks of final purchase, or approval of albums and other items requiring design approval by the client.

Digitals

Digital images are provided with any 11×14 inch, or larger, print purchases.  Smaller print purchases from the a la carte menu will come with a low resolution digital file with our studio logo in the bottom corner for sharing via social media and email.

A print release for high resolution digital images that come with your print or digital collection purchase is provided upon request.  No print releases will be provided with low resolution social media images.

Miller’s Portrait is not responsible for any prints made the color, tone or quality of any prints made outside of our lab. Our monitors are calibrated to with a professional print lab and

Outside The Studio

Portrait sessions conducted outside of our Studio at Tackett’s Mill in Woodbridge VA require a $125 travel fee within 30 miles of our studio address, plus $25 per 10 miles beyond our 30 mile radius.
